One of the most asked questions from my clients is how to create a branded email address.

Having a branded business email is an important tool for maintaining a successful online presence. A branded email, which is an email that uses your domain, helps establish your business as professional, reliable, and trustworthy.

I normally recommend my clients use Google Workspace as it not only offers a variety of apps like Email, Google Docs, Google Calendars and Google Drive (cloud storage)…it is also one of the easiest ways to set up a branded email address for a small business.

I personally set up my own email addresses with Google Workspace and have found it the easiest way to set up your email address on mobile and computer devices for people who would consider themselves non-technical.

What is a Google Business Email?

Included in the Google Workspace suite, using their email service, Google allows you to create a branded Google business email for your business. This means Google will create and host email accounts for you using your business domain.

It also keeps your business top of mind as, throughout the communication, they are seeing and remembering your domain – which will assist with retention and repeat customers.

How to Get a Google Business Email?

To create a branded Google business email, you first must sign up for a Google Workspace account.

With Google Workspace, you will have access to all of Google’s digital tools like online storage, shared calendars, and video conferencing, which will make collaborating between your team and your customers easy and transparent.

There is a cost associated with Google Workspace but after the 14-day free trial, you can pay as low as $8 AUD a month for the service. The Business Starter plan should be sufficient for most small businesses.

    1. Once you choose the plan you want, follow the prompts to sign up. Google will ask you basic questions about your business, like the size, your business name, contact information, etc.
      During the signup process, Google will also ask you if you want to register a domain or connect a domain. If you already have a website, you will want to connect your domain. This is a very important step as it will allow you to create your branded Google business email.
    2. Once you’ve connected and verified your domain, you will be able to create your branded email accounts and complete other customisation like adding your business logo to your emails.

Updating Your MX Records

If you already have a domain, you’ll need to update your domain’s MX records with your registrar to allow Google to host your emails. It may sound complicated but Google’s intuitive setup system will help you through the steps.

To update your domain’s MX records:

  1. Once you’ve completed the initial setup process, locate your new MX records in your Google Workspace settings.
  2. Next, sign in to your domain registrar. This is the company you used to purchase your domain. If you obtained your domain from a hosting provider, it’s likely they are your domain registrar and can assist you with this process.
  3. When signed in to your domain registrar, navigate to your domain’s MX records and replace the current records with the new MX records from Google. (Again, this is something your domain registrar/hosting provider can assist with.)
  4. Once the change is complete (the update can take up to 48 hours), Google will activate your Gmail account for your domain!

Setting up your Google Workspace and Google business email is as simple as following the easy, guided process designed by Google. Every step of the way, Google will give you notes and prompts with additional information to help you complete the process.
